This document establishes a mechanism for ongoing coordination of periodical subscriptions.

Need for the Policy

The Operating Agreement states that the University and the City shall each retain the right to select, maintain, and manage the University Library Collections and the City Library Collections, respectively. However, the University and City have also agreed to cooperate and coordinate selection processes to avoid unnecessary duplication within the King Library Periodical collections and make the best use of limited resources. Prior to the opening of the King Library, periodical subscriptions were reviewed and duplicate titles identified. Responsibility for continuing a single subscription for each duplicate title has now been assigned to one organization. In a few exceptional cases both organizations will continue subscribing to meet heavy demand by users. These decisions will require occasional review to ensure that agreements are met and records revised to reflect title changes and ceased titles.

Requirements & Guidelines

  • Periodical records in the online catalog (staff mode) will include notes that designate one party as responsible for the subscriptions that were previously held by both organizations.
  • Prior to canceling subscriptions so marked, the heads of Collection Management for both organizations must agree upon cancellation.
  • The heads of Collection Management shall exchange information on new periodical subscriptions to be ordered. If a large number of requests are received for a general title judged to be of interest to both the University and City communities, the Heads of Collection Management shall consult and make a decision on which institution shall subscribe. In making this decision, they shall consider the cost and number of subscriptions previously held by both organizations and now assigned to each party.
